Booking & Pricing Policy
At Smokehouse BBQ Company, every event is planned with care, real smoke, quality ingredients, and proper production time.
Craft barbecue is not rushed. Brisket, pork, chicken, ribs, sides, sauces, packaging, delivery, and setup all require planning ahead so we can serve your event the right way.
Please review the policy below before booking catering, placing a large order, or requesting a custom quote.
Quotes & Estimates
Custom catering quotes are valid for 21 days from the date they are sent.
Because meat, ingredients, packaging, fuel, and supply costs can change, pricing is not guaranteed until your order is confirmed with a deposit.
For events booked far in advance, final pricing may be reviewed closer to the event date if major market changes occur.
We will always be upfront before anything is finalized.
Reserving Your Date
A 50% non-refundable deposit is required to reserve your event date.
Your date is not officially booked until the deposit has been received.
This deposit allows us to hold production time, turn away other bookings for that date, and begin planning your order.
Deposits are applied toward your final balance.
Final Payment
Final payment is due 14 days before the event date unless otherwise stated on your invoice or proposal.
For weddings, corporate events, holiday orders, or large catering orders, final payment may be required 21 days before the event so we can place distributor orders, schedule production, and secure the proper amount of food.
Orders that are not paid by the final payment deadline may be delayed, reduced, or canceled.
Final Guest Count & Menu Changes
Your final guest count and menu selections are due no later than 14 days before your event.
After that point, reductions may not be possible because food, packaging, supplies, and labor may already be ordered or scheduled.
We will do our best to accommodate reasonable increases when possible, but increases depend on availability, production capacity, and supplier deadlines.
Cancellations
Deposits are non-refundable.
If an event is canceled after food, supplies, rentals, packaging, or labor have already been purchased or scheduled, additional charges may apply.
If weather, venue issues, or personal circumstances require a date change, we will do our best to move your order to a new available date.
Pickup, Delivery & Setup
Orders may be available for pickup, delivery, or delivery with buffet setup depending on order size, location, and schedule.
Delivery and setup are not automatically included unless listed on your invoice or proposal.
Buffet setup includes setting up the food pans and chafing setup for the buffet line.
Buffet setup does not include tables, linens, plates, utensils, staffed service, trash removal, guest table clearing, or venue cleanup unless those items are specifically added to your order.
Disposable plates, bowls, utensils, napkins, and buffet equipment may be added when available.
Staffed Service
Staffed service may be available for select events and must be requested in advance.
Staffed service is priced separately from food and may include labor, travel, setup time, service time, and cleanup of our buffet area only.
Staffed service does not include clearing guest tables, bussing, venue cleaning, trash removal, or handling items not provided by Smokehouse BBQ Company unless specifically agreed to in writing.
Food Quantities & Portions
We plan catering portions based on the menu selected, number of guests, service style, and event type.
Portions are calculated to provide a strong and fair serving amount for your guest count.
Extra-heavy eaters, second servings, unusually long events, late-night service, or self-serve buffets may require additional food.
If you want extra food or leftovers guaranteed, please let us know when ordering so we can build that into your quote.
Menu Availability
All menu items are subject to availability.
Because we focus on craft barbecue, many items require advance preparation, trimming, smoking, resting, slicing, packaging, and proper holding or reheating instructions when needed.
Certain premium meats, specialty sides, holiday items, and large orders may require additional notice.
Taxes & Fees
Applicable taxes and fees will be added where required.
Food, services, equipment, rentals, delivery, setup, and other items may be handled separately on invoices when required.
Allergies & Dietary Needs
Please notify us of any allergies or dietary needs before placing your order.
While we do our best to be careful, our kitchen and equipment may process common allergens including wheat, dairy, eggs, soy, nuts, and other ingredients.
We cannot guarantee a completely allergen-free environment.
Leftovers & Food Safety
Once food is picked up, delivered, or released to the customer, the customer is responsible for proper holding, serving, storage, and reheating.
Hot food should be held hot. Cold food should be held cold. Leftovers should be stored safely and promptly.
For cold pickup or reheat-style orders, warming instructions may be provided when applicable.
